  5. Matters Arising from Minutes
    Baden Broughton reported that no club has asked for a coaching video but this promotional video made in Scotland specifically for youth coaching will be sent to all clubs. Use of the video will be followed up by Gordon Gibson and Baden Broughton.

  6. President's Report
    The President, Paul Kay, presented his 2008 Report. To be published in annual publication. Moved P Kay sec B Jordan that his report be accepted. Carried

  7. Audited Annual Accounts
    The Treasurer, David Edgar, presented the audited Annual Accounts. The loss on the FIP campaign was approximately $7000, which was acceptable compared with other participating countries' cost.
    The AMP Unit Trust has made a loss of $2300 in the year under review.

    Affiliation Fees
    David Edgar moved that the Affiliation Fees increase
    From $210 + GST per Club to $220 + GST
    $80 + GST per player to $ 85 + GST
    $20 + GST per non rated player No increase.

    These increases will be accounted for in the 2009/2010 year. That is Clubs need to increase their fees this season and NZ Polo will charge the increased fees October 2009. sec P Kay carried

    Gordon Gibson thanked the immediate Past President, Paul Kay, for the tremendous contribution he has made to NZ Polo over the past three years, which included the development of the new cooch playing surfaces that so many clubs were now benefiting from, the escalation of our International activity both home and away and presiding over the inaugural and very successful FIP World Cup, Zone D Finals held in Auckland in 2007.

  9. Bayleys Savile Cup
    Sponsorship: The new President, G Gibson, has been in contact with Bayleys Realty and hopefully NZ Polo will have a positive reply shortly.

    Review: 2008:
    Kihikihi noted their enjoyment of the 2008 Bayleys Savile Tournament at Pukemarama. Rangitikei congratulated on their excellent organization and it is planned that Bruce McKelvie be on future Savile organizing committees to maintain those high standards.

    Bayleys Savile 2009: at Auckland 4 - 8 March 2009
    Savile 16 Goals 6 chukkas Only 1 player 7 goals or above in one team
    Wilson 6 Goals 5 chukkas No 4 goal player may play in the Wilson
    Riddiford Levin 3 Goals 4 chukkas. No 3 goaler may play in the R/Levin
    Mckenzie Salver 0 4 chukkas. Goal Players 1 goal and below. All Mckenzie Salver matches are on handicap

  10. FIP Finals Mexico
    Although NZ only won one match (the only non Latin team to do so!) the experience was worthwhile and beneficial to Polo in NZ as a whole. There is no doubt, a lot was learnt.

  11. International Day 2009
    Paul Kay, International Co ordinator, reported that at this time, four Argentine 7 goal players from the prestigious Coronel Suarez Club will be travelling to NZ to play the first Test at Christchurch on 1 February 2009 and the second Test at Kihikihi on 7 February. The South Island Test will have "pooled" horses, (similar scheme to FIP in Mexico). The pooled horses will be drawn by each team. It is a possibility that some of these Argentine players may be available to play in the NZ Open, which would be a bonus.

  12. Umpiring
    John Lane presented his Umpiring Report (presented to Management in May 2008). Basically he is disappointed with the lethargy of the majority of NZ players in regard to umpiring and knowing the rules. Hopeless to umpire if that person has no knowledge of the rules. Senior players need to take a leading role at club level. Practice chukkas without an umpire only exacerbates the problem. This is the very time that younger players should be learning HOW to umpire. There was discussion on the umpiring standards and areas of concern. One school of thought was that sending players, whom abuse umpires and continually misbehave, from the field is not necessarily a good move. Another thought it necessary. It was agreed, however, that Senior Umpires should meet at Tournaments and discuss umpiring issues before the Tournament starts. At the February Meeting a report will be made to Management as to whether progress has been made. Senior players need to remember that they are a "role model" to junior players, therefore should not pass on bad habits by example! Robert Watson believes that the professional umpires in finals of big tournaments should be recompensed. Often they have to "hang" around waiting to umpire a final and this needs recognition. (Preferably monetary)

  13. Coaching:
    A small grant was received from FIP for coaching.
    A Coaching Clinic to be held at Hawkes Bay 2/3 December 2008. For Players under 21 (as at 1 December 2008). Nominations are called for this Clinic. Coaches may also identify and include some players they believe have potential. All players attending are required to organize their own accommodation. Horses can be arranged for any South Island players to assist in making the clinic more accessible. Any player attending the Coaching clinic who require paddocks, please contact Richard Hunt.

  14. Youth Polo (SUPA)
    Roddy Wood reported on Youth Polo in the South Island, which is going extremely well. A Christ's College Team travelled to California in July 2008 and won all matches…against youth and adult teams. The report on their trip is on the NZ Polo website. Inter schools polo very strong in the South Island. With 14 teams in their last Tournament. Gordon Gibson requested and Roddy Wood agreed that Roddy travel to Auckland and assist in setting up Collegiate Polo in Auckland and eventually other centres.

    SUPA Polo going to be formed as a "Club" within NZ Polo. Areas will belong to this 'Club" e.g. Auckland Supa Polo, South Island Supa Polo and any other area having the same scheme in place. Auckland Supa Polo, after a number of years in place, is going well and always available to new players wishing to learn.

  15. South Island Polo
    Bryan Burrows represented his South Island Report (given Management May 2008) Roddy Wood is the new South Island President. Report to go in 2008 Year Book.

  16. Rules
    There was discussion on the Rule Changes as circularized. Management to vote on changes 3 October 2008.

  17. Year Book: Fixtures and Dates
    Hopefully the Polo Calendar is nearly finalized. Delegates had the opportunity to scrutinize dates on white board.

  18. General Business
    The President has been speaking with David Woodd (HPA).
    NZ Colts Team trip to England July 2009. Team to be under 21 as at 1 December 2008. HPA would like an indication of the NZ squad rating by 22 October 2008.

    Gordon Gibson, also, reported that it appears likely that NZ will be invited again to contest the Coronation Cup in July 2010. As soon as there is confirmation, Management need to make "plans" and put together a committee to provide the components required to win this challenge.
